Guidelines for Applying for Paid Leave (Including Bereavement Leave)

To ensure proper faculty service management and smooth administrative processing, the procedures and methods for applying for paid leave (including bereavement leave) for international faculty members are outlined below.
All international full-time and visiting faculty members are required to carefully review and comply with the following guidelines, as well as all relevant regulations and contractual provisions.

1. Eligibility
 - International Full-time Faculty
 - International Visiting Faculty

2. Basic Principles for Applying for Paid Leave
 - Paid leave may be requested only within the number of leave days stipulated in the individual faculty member’s employment/appointment contract.
 - Any leave taken beyond the number of days specified in the contract will not be recognized as paid leave and may be subject to separate administrative action.

3. Types of Paid Leave
 - Annual Leave
 - Bereavement Leave

4. Number of Days for Bereavement Leave (Latest Standard)
※ In accordance with Schedule 2 of the State Public Officials Service Regulations
(Revised as of February 11, 2025)

※ For remote locations (including overseas), additional days required for actual round-trip travel may be granted
※ Adoption leave applies only to lawful adoptions in accordance with relevant laws

5. Procedure for Applying for Paid Leave

  1) Application Timeline (General Rule)
     ▶ All paid leave, including bereavement leave, must be applied for at least two (2) weeks in advance.

  2) Exceptional Cases: Unavoidable Bereavement
      In cases such as the death of an immediate family member, where prior application is not feasible, the faculty member must:
         - Immediately notify the Department Chair or the Dean, and
         - Obtain at least verbal prior approval before using the leave.
      The faculty member must then submit the Absence/Overseas Travel Report Form and all relevant supporting documents as soon as possible thereafter.

  3) Required Documents
      Leave Application Form
         - 
Submitted in the form of an electronic approval document
      Supporting documents for bereavement leave (if applicable)
         - Relevant documents such as a family relationship certificate, marriage certificate, or death certificate

  4) Submission Method
      Faculty members must visit their department office and apply through the electronic approval system with the assistance of a department administrative assistant.

  5) Approval Process
      Confirmation by the department
      Review by the Office of Human Resources
      Final approval and leave processing

6. Important Notes on Overseas Travel and Service Obligations
      Leaving the country without prior approval constitutes a violation of faculty service regulations and may result in a warning, formal caution, or disciplinary action.
      Failure to submit an Leave Application, or failure to report for duty as scheduled, may be treated as unauthorized absence.
      Faculty members must coordinate in advance with their department regarding classes and academic duties during the leave period.
      Applications for paid leave during an active academic semester are generally discouraged. However, if a faculty member is unavoidably required to take paid leave during a period when classes are in session, the faculty member must arrange and conduct make-up classes in consultation with the department.
      Paid leave may be denied if required supporting documents are not submitted, if false or inaccurate information is provided, or if established procedures are not followed.
